Dealer Portals FAQs

Can dealers find the documents we keep in SharePoint?

Yes. You can keep publishing to the SharePoint libraries you already use. For a searchable library across thousands of files, we add an index in Dataverse that holds each file’s product, type, version and usage rights. Dealers can then filter and search, and each can see only the files they’re permitted to see.

Can dealers submit warranty claims through a dealer portal?

Yes. The claim form asks for the serial number, the fault and photos, and checks the product against its registration. For products where cover depends on servicing, such as vehicles, it can also check the service records your dealers have logged. Your warranty team works the claim as a case in Dynamics 365, and the dealer follows it through to a decision.

Can several people at one dealer have different levels of access?

Yes. A dealer principal, a designer, a marketing manager and a service technician can each see what their role needs, including whether price lists appear at all. You can let each dealer principal invite colleagues and remove people who leave, so access stays current without extra admin for your team.

Do dealers need Dynamics 365 licences to use a dealer portal?

No. Dealers sign in to the portal, and your Dynamics 365 security roles decide which records each one can see and update. We’ve previously built a portal for a vehicle manufacturer, enabling its dealerships to log demos, meetings and customer agreements in the manufacturer’s CRM without a full licence each. For dealers who mainly need files, orders and claims, a portal is the lighter option.

How long does it take to build a dealer portal?

It depends on scope and the systems involved. You will see a prototype within days of an initial call, and most first-phase portals go live in about eight weeks.

Is a dealer portal worthwhile for a smaller network?

We focus the first phase on the requests that take up most of your team’s time, often product files or warranty claims, so the initial cost stays contained. With a few dozen dealers, the difference shows quickly, because the same small team answers all of them. The portal then grows with your network.

Will the portal work with our ERP and Dynamics 365?

We build on the Microsoft platform, so the portal reads and writes to your Dynamics 365 records in Dataverse. Your ERP connects through its API or a scheduled feed to publish order status, delivery dates and stock levels. Early in scoping, we agree which system owns each piece of data, because the portal publishes what those systems hold.
